What We Collect and Receive
In order for us to provide you the best possible experience on our websites, we need to collect and process certain information. Depending on your use of the Services, that may include:
- Contact us via email— for example, when you ask for support, send us questions or comments, or report a problem, we will collect your name, email address, message, etc. We use this data solely in connection with answering the queries we receive.
- Usage data —when you visit our site, we will store: the website from which you visited us from, the parts of our site you visit, the date and duration of your visit, your anonymised IP address, information from the device (device type, operating system, screen resolution, language, country you are located in, and web browser type) you used during your visit, and more. We process this usage data in Matomo Analytics for statistical purposes, to improve our site and to recognise and stop any misuse.
- Cookies — we use cookies (small data files transferred onto computers or devices by sites) for record-keeping purposes and to enhance functionality on our site. You may deactivate or restrict the transmission of cookies by changing the settings of your web browser. Cookies that are already stored may be deleted at any time. We only use essential functional cookies and no third party cookies.
- Create an account —when you sign up for our Service we may ask you to provide us with information such as your name, email address and some additional details. As otherwise detailed in this Privacy Policy, we will solely process this information to provide you with the service you signed up for.
Your Rights
You have the right to be informed of Personal Data processed by Sophie Shanks Fitness®, a right to rectification/correction, erasure and restriction of processing. You also have the right to ask from us a structured, common and machine-readable format of Personal Data you provided to us.
We can only identify you via your email address and we can only adhere to your request and provide information if we have Personal Data about you through you having made contact with us directly and/or you using our site and/or service. We cannot provide, rectify or delete any data that third parties may store once we have deleted it from our accounts with them. Please see below for third parties, how we use them and what data they have access to. By accepting our Terms of Service on signing up to Sophie Shanks Fitness® service, you accept and confirm that you have read, understood and are happy to share your data with the companies in the capacity detailed here.
In addition, you have the right to lodge a complaint with the data protection authority in your jurisdiction.
Third party tools and software
We use a number of third party software in order to deliver our paid service. The software and it's role, including impact on personal data, are listed below. By signing up and agreeing to the terms and conditions, you agree that you have read and understood the software we use and its role in delivering our service, and that you are happy to use the service knowing this. We encourage you to look into the companies in advance of agreeing if you have any concerns. Sophie Shanks Fitness® and Sophie herself do not hold any information you share on any personal servers or devices, it is all handled and held by the following third parties. This may not be an exhaustive list of all third party software used by the team at Sophie Shanks Fitness, but it is, however, a complete list of third parties that are involved with any personal customer data.
Memberstack

The main tools used to deliver the website experience to the customer are Webflow (see below) and Memberstack. Webflow provides the front-end framework. Memberstack is used to provide the user authentication functionality, allowing us to gate certain content to paying members only and perform authentication checks to make sure a user is signed in or out to display content.
When creating an account, the form elements use html attributes to pass this information to Memberstack to store the information and provide user account functionality. The information taken by the customer is first name, last name, email address and password.
Name information is taken to personalise communications with the user. Email address is taken in order to communicate with the user, act as a username to allow unique login, and to authenticate a real user and not a bot. Password is taken to provide a security measure for the user to authenticate themselves. The password is not visible to Sophie Shanks Fitness, nor is it held by us in any way. The password information is handled by Memberstack in order to provide the login and user authentication functionality.
Additional checkboxes are required to use the service. You are required to accept that partaking in any exercises shown on Sophie Shanks Fitness® are at your own risk. Whilst Sophie is a qualified professional, any exercise and movement comes with a potential risk of injury and Sophie will not be held responsible or liable for any injury incurred as a result of attempting movements shown in her content. Always consult a physician in advance of starting any exercise routine and do not attempt anything you do not feel comfortable with. By using the services provided you accept this condition. Users are also required to accept and acknowledge reading through these terms and conditions in detail prior to signing up. Marketing communications are an optional checkbox, which can be changed at any time from user account settings. Marketing preferences are held within Memberstack, Airtable (see below) and Mailchimp (see below) to deliver our email service.
Memberstack connects with Stripe (see below) to create the subscription and payment functionality that customers can select to purchase. Memberstack does not handle the payments, this is Stripe, but it does create the subscription options and send it to Stripe. Within Memberstack, the subscription plan that a customer has selected is shown, and the state it is currently in, eg. trial, active, cancelled, and the price chosen.
Webflow

The website is built using the front-end coding tool Webflow. We use Webflow to host our site because we use their CMS functionality, requiring us to do so. They also supply our SSL certificate. In order to display each user with their own individual dashboard, we have a CMS collection that holds some of the information the customer provided to us when creating their account; namely their first name, last name and email address. This is so that we can add their first name to their dashboard, so it feels personalised to them. It also allows us to populate their profile account page, in order for them to change and update these settings.
Airtable

We use Airtable to act as our central database of information. With many third parties performing different functions, we use Airtable to hold key information in one place and also as a middle-man to facilitate some automations for functionality via Zapier (see below). Each customer has the following information held in Airtable: first name, last name, email address, subscription price chosen, Stripe customer ID, Stripe discount code used, Stripe payment status, actively subscribed or not, opted in or out of marketing, Mailchimp (see below) subscription status. We reserve the right to update these fields as needed to continue to perform correct functionality. We do not have access to or hold any sensitive information about customers such as passwords or payment methods and details on Airtable or any other platform used.
Stripe

Stripe is used to take payments and manage your subscription plan and recurring billing. When signing up to our service, your billing and subscription is all handled through Stripe. We are not able to see any payment information you provide, such as card details, this is all handled by Stripe. When managing your subscription, such as changing your subscription pricing or cancelling a subscription, this is handled within Stripe. We receive information on which payment plan you chose and the status of your subscription (as outlined above) but no payment details are visible or held by Sophie.
Jetboost

Jetboost is used to provide sort and filter functionality within the class library page and to provide the favouriting/saving videos functionality. The favourite functionality intigrates with Webflow (see above) to show how many times a class video has been saved by all users. Jetboost provides the ability to export a csv file that shows all videos favourited and by which members. We use this information to determine the most popular content with our customers to inform the new content we create. This information is manually exported periodically by Sophie Shanks Fitness team and may be added to Airtable (see above) manually in due course.
Mailchimp

Mailchimp is used to provide our email marketing campaigns and communications. In order to send out mailings, Mailchimp holds a subscriber list of all contacts held on our account. This information includes first name, last name and email address. This is in order to contact customers via email and to personalise emails with the customer's name. Customers can manage their communication preferences to opt-in or out of emails from the bottom of each email or by adjusting their settings on their account page. Mailchimp allows us to see datapoints such as how many emails were opened but does not hold any additional personal data.
Zapier

Zapier is used to automate the transfer of information and provide functionality necessary for the Sophie Shanks Fitness® service to function. Zapier acts as a bridge between software by providing a user-friendly interface for us to connect software together via their allowed API calls and requests. Zapier uses 256-bit AES encryption at rest in addition to securing network communication with TLS 1.2 for encrypting data in transit. We do not store any personal data provided with or on Zapier, but it does connect platforms outlined above transferring this data. As outlined above, the only personal data moved by Zapier between the tools we use is first name, last name and email address.
Retention of data
We will retain your information as long as your account is active, as necessary to provide you with the services or as otherwise set forth in this Policy. We will also retain and use this information as necessary for the purposes set out in this Policy and to the extent necessary to comply with our legal obligations, resolve disputes, enforce our agreements and protect Sophie Shanks' legal rights.
We also collect and maintain aggregated, anonymised or pseudonymised information which we may retain indefinitely to protect the safety and security of our Site, improve our Services or comply with legal obligations.
Privacy Policy Changes
We may update this Policy from time to time. If we do, we’ll let you know about any material changes, either by notifying you on the website or by sending you an email.
